Terms of Service

1. The service
Force HRM, operated by Vapor Technologies Ltd, is payroll software for Kenyan businesses that the client operates directly: monthly payroll calculation, statutory filing (PAYE, NSSF, SHIF, Housing Levy, and related obligations), bank payment file generation, and an employee self-service app, all run automatically once the client's data is entered.
2. Client responsibilities
Clients are responsible for providing accurate and timely employee data, approving each monthly payroll summary before it is filed or paid out, and notifying Force HRM promptly of any employee starts, exits, or changes affecting payroll.
3. Service levels
Force HRM targets filing statutory returns by the 5th of each month, ahead of the KRA deadline of the 9th. Support requests are targeted for response within 1 business day on the Starter plan and 4 business hours on the Professional plan, or as otherwise agreed in writing for Enterprise clients.
4. Liability for filings
Force HRM is responsible for the accuracy of statutory returns prepared and filed on a client's behalf, based on the data the client has supplied and approved. Clients review and approve each monthly summary before filing; approval confirms the underlying data is accurate to the client's knowledge.
5. Fees and billing
Fees are billed monthly in KES according to the plan selected at signup. There is no setup fee, and the first month of service is free. Fees adjust in line with headcount changes from the following billing cycle.
6. Data ownership on exit
Clients own their payroll and employee data. On cancellation, Force HRM will provide a full export of payroll history and employee records within a reasonable period, and will not retain client data beyond what is legally required for statutory record-keeping.
7. Cancellation
There is no lock-in contract. Either party may cancel the service, with reasonable notice to allow an orderly handover of the current payroll cycle.
8. Governing law
These terms are governed by the laws of the Republic of Kenya.
