What is a P9 form?
A P9 (formally the P9A) is an annual tax deduction card. It summarises, for one employee over one tax year, their total pay, allowances, benefits, statutory deductions, taxable pay, personal relief and the PAYE deducted month by month. It is the document an employee uses to file their annual individual income tax return on KRA's iTax platform.
When do you need one?
Employers issue P9 forms to employees after the tax year, ahead of the individual return filing deadline of 30 June. In practice, any employee who was on your payroll during the year and had PAYE deducted needs a P9 to file. Even employees who owed no tax often need it to file a nil-adjusted return.
What a P9 contains
- Employee name and KRA PIN
- Basic salary and taxable allowances, month by month
- Value of any non-cash benefits
- Pension / NSSF and other allowable deductions
- Taxable pay per month
- Personal relief and any insurance relief
- PAYE deducted per month
Because it is built from twelve months of payroll data, a P9 is only as accurate as the payroll behind it. If your monthly figures were correct, the P9 practically writes itself; if they weren't, year-end is when the errors surface.
