The challenge
With staff distributed across locations, collecting the month's payroll inputs — overtime, site allowances, new contracts — used to be a chase, and the statutory deadlines did not wait for it to finish. The risk was never the arithmetic alone; it was the arithmetic under time pressure.
What changed
Changes are entered as they happen during the month rather than gathered at the end. By the cutoff date the run is already complete: gross to net for every employee, with PAYE, NSSF, SHIF, and the Housing Levy computed exactly and the bank payment file generated the moment the run is approved.
Where it landed
- Payroll inputs captured during the month, not chased at month-end
- Bank payment file generated on approval — one transfer, everyone paid
- Statutory figures ready by the 5th, filed well before the 9th
- Allowances and overtime itemised on every payslip
